JOB TITLE: Community Development Administrative Assistant

EMPLOYMENT STATUS:  Regular, Ongoing

HOURS/WEEK:  21 hours per week (flexible hours ideally over 5 days)

The Community Development Administrative Assistant reports to the Director of Early Childhood and Community Development and Client Care Manager for the administrative support for the Community Development  and Client Care Teams. The Community Development Administrative Assistant demonstrates a courteous, professional manner and uses an anti-oppressive approach.

 

KNOWLEDGE, SKILLS & ABILITIES

  • Minimum with 2 years of administrative experience
  • High proficiency with Microsoft Office software; outlook, word, excel
  • Knowledge of office management systems and procedures
  • Experience with creation of promotion materials, website updates, and social media
  • Experience with learning new computer programs
  • Attention to details and problem solving skills
  • Excellent editing skills
  • Self-starter with superior attention to detail and are able to work within set timelines, multitask and work independently
  • Effective time management, decision making and organizational skills
  • A good team member and supportive of interdisciplinary practice
  • Ability to work with other staff to identify and implement improvements and efficiencies
  • High level of confidentiality

PRINCIPAL JOB DUTIES

  • Provide administrative assistance to the Director of Early Years and Community Development and the Client Care Manager  including:
  • Collection and Entry of Data
  • Managing referrals for Parent Outreach Workers
  • Drafting templates, documents, presentations, reports
  • Arranging meetings (doodle polls, booking rooms, sending reminders, etc.), , set up and tear down, minutes, catering requests, food set up
  • Supporting with special projects, including grant writing
  • Collaborating with other administrative assistants around communication including social media presence, program promotions and events
  • Supporting the management team on policy reviews and updating the online policy platform
  • Reviewing of expense reports, including coding of credit card purchases
  • Assisting with co-ordination of educational events (registration, logistics management, catering, etc)
  • Other administrative duties, as assigned
